Golf Cart Rental Software: 12 Features to Look For

By Axons Mobility Team · · 8 min read

The short answer

Golf cart rental software combines a renter app, a connected device on every cart and an operator console for staff. The 12 features to look for are keyless unlock by app or NFC key card, an ID check with a deposit held rather than charged, hourly pricing with daily caps and passes, zones and speed limits, a live map with remote lock and ignition, correct battery readings for 48 V and other packs, driving and crash detection, damage and dispute tools, repairs with a health score, accounting and VAT, multi-location control, and a white-label app in your guests’ languages.

Golf cart rental software lets renters unlock and pay for a cart with their phone or a key card, and lets your team price, track, protect and repair the fleet from one console. The best systems pair the software with a connected device on every cart, so zones, remote locking and battery readings work live.

This buyer’s guide covers the 12 features that matter most for golf cart rentals, a checklist table you can use in demos, and the questions to ask every vendor.

What is golf cart rental software?

It has three parts that must work together:

  • A golf cart rental app for renters, to sign up, unlock, pay and end a rental.
  • A connected device on each cart, to lock, unlock, track and control it.
  • Golf cart fleet management software for staff: the console for prices, zones, the live map, repairs and accounts.

Buy the three as a set, or check carefully that they work together. A device that works with only one platform ties you to that platform. Axons Mobility golf cart rental software is built this way, with the app, device and console designed as one system.

Which features should golf cart rental software have?

Here are the 12, starting with what renters see and then what your team uses behind the scenes.

1. Keyless unlock by app or NFC key card

Renters should never queue for a key. In the app, they scan the code on the cart or type it in, and the cart unlocks. For residents, resort guests or anyone who does not want an app, an NFC key card tapped on the cart’s reader should work too.

Ask how cards are enrolled, whether a card can be limited to certain carts, and whether every tap is logged. In Axons Mobility, cards are enrolled by tapping them on the cart’s reader, one tap can start, end or toggle a ride, cards can be limited to chosen carts, and every tap is recorded. Our guide to keyless vehicle access explains how it works.

2. An ID check and a deposit held, not charged

Before handing a cart to a stranger, you want to know who they are. Look for an ID check with a selfie at sign-up, so the person renting matches the ID. If local rules or your insurer require more, such as a driving licence or a minimum age, ask each vendor exactly what its check covers, and plan how staff will check anything the software does not.

Deposits should be held on the renter’s card and released after the rental, not charged and refunded later. A hold is easier for renters to accept and avoids slow refunds. Check where the money lands, too: with Axons Mobility, renters pay by card, Apple Pay, Google Pay or wallet, straight into your own Stripe account.

3. Hourly pricing with daily caps and day passes

Golf cart renters think in hours and days. Look for time-based pricing with a daily cap, so a long rental never costs more than a day, plus day passes for visitors and memberships for residents. Useful extras include ride packs, taxes and surcharges by region, reservation fees and higher prices at peak times.

Axons Mobility prices rides by time, distance, a hybrid of both or a flat fare, with surge pricing that is flat or triggered by demand. Passes cover day passes, ride packs, minute bundles and memberships, and can be gifted, shared or set to auto-renew. For how to set the numbers, see our golf cart rental pricing guide.

4. Zones and speed limits that keep carts in bounds

Zones are the main way to keep carts on the property or on the streets you allow. Draw a service area around the allowed area and no-go zones over public roads, beaches, pool decks or private land. When a cart crosses a line, the system should act, not just record: warn the driver, slow the cart, sound an alarm and slow it, or cut motor power after a grace period, so the driver has time to turn back before anything stops.

Speed-limit zones matter just as much on a golf cart fleet. They slow carts near pools, lobbies, shops and busy walkways while carts run normally elsewhere. Axons Mobility has five zone types (service area, no-go, speed limit, parking and charging), drawn as a polygon or circle, with custom messages for renters and a replay of every breach. Read more in our guide to smart geofence control.

5. A live map with remote lock, unlock and ignition

Staff should see every cart on a map and act on it: lock a cart left in the wrong place, unlock one for a renter who is stuck, switch the ignition off at closing time, or force-stop a rental that has gone wrong. Alerts should reach staff without anyone watching the screen. The Axons Mobility operator console does all of this and sends alerts for low battery, offline carts, zone breaches and crashes by email and desktop notification.

6. Battery shown correctly for 48 V and other packs

Golf carts use different battery packs from scooters and e-bikes, and one fleet may mix several. Software that assumes one pack can show a full cart as half empty, or an almost empty cart as fine. Look for battery settings per vehicle type, with the pack’s minimum and maximum voltage and a choice of showing voltage, percent or bars. Axons Mobility vehicle types work this way, so a 48 V cart reads correctly next to other vehicles.

7. Driving behaviour and crash detection from the device

Driving data is most useful when the device on the cart measures it, rather than a renter’s phone. The Axons Mobility device has a motion sensor that takes 100 readings a second and records harsh braking, sharp turns, speeding, tilt, towing and crashes. Crashes are only recorded at road speed, so a knock while parking is not reported as one. Tilt matters on slopes and rough paths, and towing detection helps with theft.

8. Damage and dispute handling

Most rental arguments are about where a cart was left, what happened to it and what was charged. Look for:

  • parking status, the nearest parking zone and any fee shown to the renter before they end a rental
  • a parking photo taken by the renter at the end of each rental
  • a route replay of each rental
  • disputes with photo evidence, and a support desk that can refund or add credit in one click

Axons Mobility includes all four, with Ride Replay and disputes accepted for up to 30 days. Its photo is taken at the end of the rental, not before, so keep your own check of carts between rentals.

9. Repairs with parts stock and a health score

Rental carts work hard. Each repair should be a work order against the cart, assigned to a technician, with the parts used taken from stock so you know when to reorder. A health score helps staff decide which carts to fix first. Axons Mobility Fleet Intelligence gives every vehicle a 100-point health score.

10. Accounting and VAT

Rentals, deposits, refunds, passes, taxes and payouts all touch your books. Exports to a spreadsheet leave your accountant rebuilding the numbers. Axons Mobility includes full double-entry accounting with a P&L, balance sheet, cash flow, VAT summary and payout reconciliation.

11. Multiple locations, with staff limited to their own

Rental businesses often grow into a second beach, resort or community. Each location should run as its own fleet, and staff should only see and control their own location’s carts. Private, invite-only fleets matter too, for residents or resort guests. Axons Mobility supports fleets per location, staff limited to their own fleets, and private fleets with bulk invites and starting credit.

12. A white-label app in your brand and your guests’ languages

Renters trust an app with your name on it, and international guests need it in their language. The Axons Mobility rider app carries your brand on iOS and Android in 8 languages. It also supports group rides, where a family takes several carts at once with each billed separately, an emergency button that shares live location, itemised receipts, and recording that continues when the signal drops.

Frequently asked questions

What software do golf cart rental companies use?

Golf cart rental software usually has three parts: an app renters use to sign up, unlock and pay; a connected device on each cart for locking, tracking and zones; and an operator console where staff set prices, watch a live map, manage repairs and see the accounts. Smaller rentals may still run on paper forms, spreadsheets and physical keys.

How do golf cart rentals stop carts leaving the property?

They draw zones on a map: a service area around the property or allowed streets, and no-go zones over public roads, beaches or private land. With a connected device on the cart, the software can warn the driver, slow the cart, sound an alarm and slow it, or cut motor power after a grace period, and staff can lock a cart remotely from the live map.

Can renters unlock a golf cart without an app?

Yes, if the cart has an NFC card reader. The renter taps a key card on the cart to start and end a rental. In Axons Mobility, cards are enrolled by tapping them on the cart’s reader, each card can be limited to certain carts, and every tap is logged.

How does golf cart fleet software show battery for 48 V carts?

Battery level is usually worked out from the pack’s voltage, so it is only right if the software knows the pack. Look for battery settings per vehicle type, with the pack’s minimum and maximum voltage and a choice of showing voltage, percent or bars. That way a 48 V cart reads correctly next to vehicles with other packs.

How much does golf cart rental software cost?

Most platforms charge per cart per month, and some add setup fees, monthly minimums, long contracts or a share of rental revenue, so compare the total for your fleet size rather than the headline rate. Axons Mobility publishes its prices on its pricing page, includes every feature on every plan and offers a free 15-day trial on your own carts.
