Operators rarely switch because of one bad day. They switch when the same problems keep costing money. Look out for these signs:

  • You pay extra for features you need, or they sit on a higher plan than the one you can afford.
  • Vehicles show as available when they are not, or remote lock and unlock fail too often.
  • Riders complain about the app, and fixes take a long time to arrive.
  • Your team tracks repairs, parts or money in spreadsheets because the console cannot.
  • Month-end accounting means exporting payments and rebuilding them by hand.
  • Support takes days to answer while vehicles sit unused.
  • Your city or insurer asks for safety checks your platform cannot add.
  • The price rises at renewal, or a share of ride revenue grows faster than your business.

If several of these sound familiar, it is worth comparing platforms before your next renewal date.

What should you check in your current contract?

Read your contract before you tell anyone you are leaving. These five points decide your timeline and your costs.

  • Contract length and renewal. When does the term end? Does it renew by itself, and for how long? Mark the last day you can give notice in your calendar.
  • Notice period. How much notice must you give, in what form and to whom? Is there a fee for leaving early?
  • App store accounts. Is your rider app published under your own Apple and Google developer accounts, or under the platform’s? If the listing is theirs, riders will have to install a new app. That is the biggest single risk to keeping riders, so plan for it early.
  • Data export. Does the contract give you the right to export your data? In what format, for how long after the contract ends, and for what fee?
  • Device ownership. Do you own the connected devices on your vehicles or rent them? Can they be connected to another platform, or do they only work with this one?

What data should you export before you go?

Export everything while you still have full access. Ask for CSV or another standard format, then open every file and check that totals match what the old console shows.

  • Rider accounts, sign-up dates and marketing consents
  • Wallet balances and unused ride credit
  • Active passes and their end dates
  • Ride history and payment records
  • Refunds, disputes and open support tickets
  • Vehicle list with serial numbers and device IDs
  • Repair history and parts stock
  • Zones, parking areas, pricing rules and promo codes
  • Financial reports for past periods, including VAT

Rider data is personal data. Check with your data protection adviser what you may move to a new platform and what you must tell riders. Ask the new platform what it can take in; if it cannot load something, plan to set it up again by hand. Keep a dated copy of the full export somewhere safe, because you may need it for tax or a dispute long after the old account closes.

How do you switch platforms step by step?

  1. Pick a small test group. Choose a few vehicles in one zone. Keep the rest of the fleet on the old platform so most riders notice nothing.
  2. Run the new platform in parallel. Set it up with the same zones, parking areas and rules you use today, and let both platforms run side by side.
  3. Connect devices. Fit or connect the devices on your test vehicles. Check unlock, lock, location and battery level from the console several times a day, in different parts of the zone.
  4. Test pricing and passes. Set up your prices, passes and promos again. Take real rides and check that the charge, the receipt and the report all match what riders pay today.
  5. Invite a group of real riders. Start with loyal riders who will tell you what feels wrong. Watch where sign-up takes longest and fix it before you invite more.
  6. Train your team. Battery swaps, repairs, support replies and refunds should all happen in the new console before you add more vehicles.
  7. Move zone by zone. When the test zone runs cleanly, move the next one. Keep the old platform live for every zone you have not moved yet.
  8. Close the old account last. Time your notice so the contract ends after the last zone has moved, every pass and wallet balance is handled, and your exports are checked.

The parallel run costs a little extra time. It is also where you find problems while only a few vehicles and riders are affected, instead of the whole city.

How do you keep riders during the switch?

Riders do not care which software you use. They care whether the app works, whether their money is safe, and whether it is still the service they know.

  • Announce early. Tell riders in the app, by email and on your social pages what is changing, when, and what they need to do. Remind them a week before and again on the day.
  • Keep the brand. Same name, logo, colours and zone names. If riders must install a new app, make it clear it is still you, and link to it from everywhere they already see your name.
  • Give credit for signing up again. If riders must create a new account, a small ride credit or a free unlock thanks them for the trouble. Give the offer an end date.
  • Honour every pass. A rider who paid for a monthly pass must keep what they paid for. Set up the same pass on the new platform and agree how existing holders get their remaining days.
  • Move wallet balances. Credit each rider’s unused balance in the new app, or offer a refund. Money should never disappear in a switch.
  • Staff up support. Expect more questions in the first weeks, and answer them fast.

  • Which connected devices does it support, and can our current devices be connected?
  • Is the rider app under our brand, and can it be published under our own store accounts?
  • Do riders pay into our own payment account?
  • Is every feature on every plan, or are some sold as add-ons or on a higher tier?
  • What are the setup fee, the monthly minimum and the contract length?
  • If we leave one day, how do we export our data?
  • Where is rider data hosted?
  • Who do we contact when vehicles will not unlock, and how fast do they reply?
